Supply Circle Terms & Conditions
Updated 24 September 2026
These Terms apply to teachers and other education staff who use Supply Circle, and to schools that use the platform. Part A covers education staff, Part B covers schools, and the common provisions apply to both. The platform helps Schools and Professionals find and contact one another directly.
Part A — Terms for teachers and other education staff
These provisions apply to teachers, teaching assistants, support staff and other education professionals who create a profile or use Supply Circle (“Professional” or “you”). You must be at least 18, give accurate information and be legally entitled and appropriately qualified to accept the work you undertake.
A1. Your profile and account
You are responsible for keeping your profile accurate and reasonably up to date, including your experience, qualifications, location, availability, preferred rates and any credential status you choose to state. Do not impersonate anyone or upload pupil information, confidential school material, full DBS certificates or personal information you lack permission to share. Keep your login secure and report suspected unauthorised access promptly. Fields marked visible are displayed to authorised school accounts as described in the Privacy Policy.
A2. Credentials, checks and safeguarding
You must describe your qualifications, registrations, right to work and safeguarding status truthfully and provide evidence to a prospective School when lawfully requested. A Supply Circle profile does not, by itself, mean that we have independently checked the information it contains. The School must make the checks required before you work there, and you must cooperate with lawful, proportionate checks. If we undertake any checks ourselves, we will describe their scope accurately. We may investigate credible concerns and restrict a profile where necessary for safety or compliance.
A3. Opportunities and direct arrangements
Schools choose whom to contact and engage; you choose which opportunities to pursue. Registration does not guarantee contact, work, a particular rate or an offer. Agree dates, duties, location, hours, rate, payment timing and cancellation terms directly with the School before accepting an engagement. Your employment or worker status and rights depend on the actual arrangement and law. Supply Circle does not employ or pay you under its usual platform service and is not ordinarily a party to your engagement with a School. This does not alter any statutory duty that might apply to Supply Circle.
A4. Free standard profiles
The standard Professional profile is free. We will not retrospectively charge for its past use or require you to buy an optional service as a condition of accessing work-finding services where prohibited by law. Any optional paid feature would be separately and clearly described and require your agreement before a charge.
A5. Direct contact and repeat work
You and a School that connect through Supply Circle may communicate directly and arrange later work directly. Supply Circle does not prohibit this or charge you a placement fee for it under the current service.
A6. Professional conduct
Use the platform lawfully and respectfully. Do not mislead, harass, impersonate, scrape other profiles, send unsolicited mass marketing, introduce malware, attempt unauthorised access or use information for an unrelated purpose. Promptly report suspicious accounts and safeguarding concerns to info@supply-circle.com; immediate danger should be reported to appropriate authorities.
A7. Suspension and account closure
We may temporarily restrict or remove access where we reasonably believe there is fraud, materially false information, serious misuse, a safeguarding concern or material breach. We will seek to explain the action and allow a response when appropriate and safe. You may request account deletion by emailing info@supply-circle.com, subject to limited records we lawfully need to keep. The Privacy Policy explains retention and your rights.
A8. Content rights
You retain rights in the content you upload. You give Supply Circle a limited permission to host, reproduce and display it to operate and promote your professional profile while it is active, subject to your account choices and the Privacy Policy. You must have the right to share photographs and any other content you upload.
A9. Liability
Supply Circle cannot guarantee a School's payment, conduct, offer or working conditions. Nothing removes your statutory employment rights against the correct employer or engager, or limits liability that law does not permit us to exclude. The common provisions below also apply.
Part B — Terms for schools
B1. Operator and service
Supply Circle (“we” or “us”) operates the platform at www.supply-circle.com. Contact us at info@supply-circle.com. The platform lets authorised Schools search professional profiles and contact education professionals directly about potential work. We do not employ or pay the professionals who create profiles, and we do not normally contract with them on a School's behalf. The legal duties that apply to Supply Circle depend on its actual activities and applicable recruitment law; these Terms do not exclude any duty imposed by law.
B2. School accounts
You must give accurate school and user information, limit access to staff with a legitimate recruitment need, keep credentials secure and promptly remove access when staff leave or no longer need it. You are responsible for activity on your account to the extent permitted by law. Tell us promptly about suspected unauthorised access. We may verify a School's identity and refuse or suspend access if we reasonably cannot do so.
B3. Permitted use of profiles
Use profiles and contact details solely to assess and contact education professionals about genuine work opportunities at your School or within your authorised trust. Do not scrape, bulk export, resell, publish or use profile data for unrelated marketing. Do not share account access or candidate details outside personnel involved in a legitimate recruitment process except where lawfully necessary. Respect a professional's preferences and data protection rights; having access to a profile does not grant an unlimited licence to contact or retain its owner.
B4. Recruitment and safeguarding checks
Before a person starts work, you must determine and carry out the checks and risk assessments required for the role and jurisdiction, including identity, right to work, qualifications, references, appropriate criminal record and barred list checks, prohibition checks where relevant, and any other checks required by current law and safeguarding guidance. You must confirm who performs each check and keep the records your School is required to keep. A self-reported profile field, including a DBS or qualification statement, is not evidence that Supply Circle completed or verified a check. Do not rely on a badge or platform label as a substitute for seeing appropriate evidence. Provide safeguarding induction, supervision, reporting routes and school policies as required. These provisions do not reduce any non-excludable duty Supply Circle may have in connection with a particular introduction.
B5. Offers, engagements and payment
The School and professional agree the role, dates, location, hours, rates, cancellation terms and contractual or employment arrangement directly. Confirm the relevant terms in writing before work starts. The School and any other actual employer or engager are responsible for paying the professional and complying with applicable employment, tax, National Insurance, pension, holiday pay and worker-rights obligations according to the real arrangement. Supply Circle does not set the professional's pay or guarantee their availability, suitability, acceptance or performance. Nothing in these Terms determines a person's employment status.
B6. Supply Circle charges
The price, billing period, taxes, payment terms and features for any paid School account must be set out clearly on the applicable order or checkout page before purchase; the agreed order forms part of these Terms. Where an introductory or lifetime free School offer is expressly confirmed to your School, its scope, qualifying features and any limits are those stated in that written offer. We will not impose a new charge for an agreed free entitlement without your express agreement. Optional upgrades must be accepted separately.
B7. Direct relationships and introductions
Schools and professionals may communicate directly and agree later work directly. Unless a separate, clearly agreed paid service says otherwise, Supply Circle does not charge an introduction fee, placement commission or transfer fee when a School engages a professional found through the platform. If the business model changes, a fee will not apply retroactively to an existing introduction without express agreement.
B8. School content and communications
You are responsible for the accuracy and legality of any school information, opportunity or message you submit. State essential role details accurately, do not post discriminatory or misleading opportunities, and do not request unnecessary sensitive information through ordinary messages. You grant Supply Circle a limited licence to host and display your submitted material as necessary to operate the service. You retain ownership of it.
B9. Data protection
Each party is responsible for complying with data protection law in relation to its own processing. Supply Circle operates the platform as described in its Privacy Policy. Once you access, download or receive a professional's details for your recruitment process, you normally decide why and how your School uses that information and must provide any required privacy information, restrict access and retain it only as long as justified. Contact us promptly if you discover a platform data or security incident. If a particular service requires one party to process information solely on the other's instructions, the parties will put an appropriate data processing agreement in place before using that service.
B10. Acceptable use and security
Do not impersonate a School, harass a user, attempt unauthorised access, interfere with the service, introduce malicious code, circumvent access controls or use Supply Circle for unlawful purposes. Do not share information about pupils through the platform. You must maintain reasonable security over devices and accounts used to access candidate information.
B11. Availability, changes and suspension
We aim to provide a reliable platform but do not promise uninterrupted availability or that any particular number of professionals will be available. We may make proportionate changes for security, legal compliance or service development, and will give reasonable notice of material adverse changes where practicable. We may restrict or suspend access where reasonably necessary for a security or safeguarding concern, misuse, non-payment of an agreed charge or a material breach. Where appropriate, we will explain the reason and offer a chance to resolve it.
B12. Ending access
Your School may request account closure by emailing info@supply-circle.com. Closure does not itself end an individual engagement or cancel a payment obligation already incurred under an agreed order. We may end access for material breach that is not remedied within a reasonable period after notice, or promptly where necessary to address serious safety, fraud or legal risk. Account closure does not entitle the School to retain or republish profile information beyond a lawful recruitment purpose.
B13. Liability
Nothing excludes or limits liability for fraud or fraudulent misrepresentation, death or personal injury caused by negligence, or any other liability that law does not allow us to exclude. Subject to that, Supply Circle is not responsible for a School's hiring decision, its own statutory checks, its contract with a professional, or the acts or omissions of another user merely because they met through the platform. Neither party is liable to the other for indirect or consequential loss to the extent the law permits. This clause does not override any mandatory recruitment or safeguarding duty.
B14. Intellectual property
Supply Circle and its licensors retain rights in the platform, software, name and branding. We grant the School a limited, non-transferable right to access the platform for the permitted purposes during its account term. No right to copy or build a competing directory from profile information is granted. Professionals retain rights in their own profile content.
B15. Changes to these Terms
We may update these Terms for a genuine legal, security or service reason. We will give reasonable advance notice of a material change, explain when it takes effect and, where a paid subscription is adversely affected, provide a reasonable option to end it before the change takes effect where required by law. Continued use after the effective date can indicate acceptance where permitted, but we will seek express agreement where it is legally required.
B16. Law and disputes
These Terms are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction, subject to any mandatory law that applies. Please contact info@supply-circle.com first so we can try to resolve an issue promptly.
Common provisions — both account types
C1. Service and intellectual property
We aim to operate the platform reliably but cannot guarantee continuous access. We may make proportionate changes for security, legal compliance or service development. Supply Circle and its licensors own the platform, software and branding. Account holders receive a limited right to use the service for its intended purpose and must not copy its database or interfere with it.
C2. Privacy and updates
Our Privacy Policy explains our processing of personal information. We may update these Terms for legal, security or service reasons and will bring material changes to affected users' attention in reasonable time. Where a law requires express agreement, we will seek it; continued use may indicate acceptance only where law permits.
C3. Liability and law
Nothing in these Terms excludes liability for fraud or fraudulent misrepresentation, death or personal injury caused by negligence, or any other liability that cannot lawfully be excluded. Subject to that, neither party is responsible for losses caused solely by the independent acts or omissions of a School or Professional with whom another user connects. These Terms are governed by the law of England and Wales, subject to mandatory rights that apply. Courts of England and Wales have jurisdiction, subject to such mandatory rights.
